1. What we collect

When you use TranscriptMe, we collect the following information: Account data — email address, name, and profile picture (when signing in with Google or email/password). Content you import — WhatsApp chat exports, OneDrive documents, and other files you upload. This content is processed by our pipeline to extract text, transcribe audio, and describe media. Usage data — basic analytics such as pages visited, features used, and error logs to improve the service.

2. How we use your data

Your data is used exclusively to provide the TranscriptMe service: - Text extraction and indexing — to make your content searchable via full-text and vector search. - AI processing — we send content to third-party AI APIs (Anthropic Claude, OpenAI) for summarization, transcription, image description, and chat Q&A. Only the minimum necessary content is sent. - Account management — to authenticate you and manage your workspaces and billing. We do not sell your data. We do not use your content to train AI models.

3. Third-party services

We use the following third-party services to process your data: - Anthropic (Claude API) — for text summarization, media description, and chat Q&A. - OpenAI (Whisper API, Embeddings API) — for audio transcription and text embeddings. - Microsoft Graph API — for OneDrive file access (only when you connect your account). - Google OAuth — for authentication (only when you choose to sign in with Google). - Stripe — for payment processing (we do not store your card details). Each provider processes data according to their own privacy policies. Content sent to AI APIs is not used to train their models (per their API terms of service).

4. Data storage and security

Your data is stored on servers hosted on DigitalOcean in the United States. Each workspace has its own isolated database. We use HTTPS encryption for all data in transit. Imported files (ZIPs, documents, media) are stored on the server filesystem and are accessible only to your workspace. We do not share your data across workspaces or with other users.

5. Data retention and deletion

You can delete individual sources (imports) from your workspace at any time. Deleting a source removes all associated messages, media files, embeddings, and summaries. You can delete your entire account by contacting us at hello@transcriptme.com. Upon account deletion, all your workspaces and data will be permanently removed within 30 days.

6. Your rights

Depending on your jurisdiction (LGPD in Brazil, GDPR in the EU, CCPA in the US), you may have the right to: - Access — request a copy of your data. - Correction — request correction of inaccurate data. - Deletion — request deletion of your data. - Portability — request your data in a machine-readable format. 7. Cookies

TranscriptMe uses only essential cookies (authentication tokens stored in localStorage). We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

8. Changes to this policy

We may update this privacy policy from time to time. We will notify you of significant changes by email or by a notice on our website.
